FTCollector Privacy Policy

Last updated: October 19, 2026

FTCollector is FloraTrace’s internal field collection app. This policy covers the mobile app and its associated collection records in the FloraTrace web admin. Access is restricted to authorized FloraTrace users.

Information the service receives

How information is used

Information is used to authenticate authorized users, record and verify sample collection, link physical bags to digital records, synchronize records and photos, prepare offline number ranges and maps, and support FloraTrace’s internal review and reporting.

The mobile app has no advertising or advertising tracking integration. Collection records are associated with the collector’s account; they are not anonymous.

Local storage and synchronization

Version 2 stores saved collection records and photos on the phone so collection can continue offline after sign-in and preparation. When connected, synchronization transmits records and photos to FloraTrace’s hosted service. Google provides Google account authentication; Supabase provides authentication, database and photo storage services; Vercel hosts the web admin and map endpoints. Expo delivers compatible software updates in versions with over-the-air update support. Update checks contact Expo with technical app, platform and runtime information; collection photos and GPS records are not uploaded to Expo as part of those software-update checks.

Compatible software updates may download when the app opens online and take effect on a later launch. The installed app and downloaded updates support offline collection. Changes requiring new native capabilities are delivered through an app-store update.

Legacy installations may also contain assigned tasks and photos. Their unsynchronized local work should be completed or backed up before upgrading. Version 2 does not migrate pending work from the legacy app’s local queue.

Access and sharing

Authorized collectors can access their collection records. Authorized FloraTrace administrators can review synchronized records and create reports or exports. Hosting and authentication providers process information as required to deliver those services. Report exports may contain collection locations, collector details, notes and photos; FloraTrace personnel are responsible for handling them appropriately.

Permissions and offline maps

Camera and location permissions support collection features. You can manage them in iOS Settings. Location is recorded when requested in the collection workflow. Map downloads are optional and can be removed in the app without removing collection records.

Retention and requests

Collection records are maintained for FloraTrace’s internal work and evidence review. Use Account → Delete app account in FTCollector while connected to permanently delete your app account, saved Sites, Samples, photos, profile and number reservations from the hosted service and this device, including unsynchronized work. This does not delete your Google Workspace account. Other devices may retain offline copies; remove local copies from those devices too. Server access ends when the account is deleted. Copies previously exported by administrators and provider backups may remain until their retention periods expire. Contact the FloraTrace administrator for access, correction, or questions about exported copies.

Signing out of version 2 retains locally saved collection data. Uninstalling the app or erasing the phone removes local records and may lose work that has not synchronized. Removing the app does not delete records already stored on the server.
